“We normally contact you approximately four days before your scheduled appointment to confirm the date and arrival time. Would you prefer a phone call, email, or text message?”
If the customer chooses text, continue:
“Doctor Flue, inc. can send you appointment reminders, confirmation requests, and follow-up texts about appointment changes or your replies. Message frequency varies based on your appointments and replies. Message and data rates may apply. Texting is optional and is not required to purchase our services. Reply STOP to opt out or HELP for help. You can also call us at 800-438-3583. Our Privacy Policy is at sms.fluebase.com/privacy/ and our Terms & Conditions are at sms.fluebase.com/terms/. May we send these appointment texts to [read back the customer's mobile number]?”
Wait for an affirmative response. If the customer declines, use their chosen phone or email contact method.
Consent record
When the customer agrees, record the selected mobile number, date and time of consent, staff member, program consented to, and script version in the customer's communication record. Retain the affirmative response or a contemporaneous note of it. This procedure does not depend on recording phone calls.
Do not send program messages until the customer's consent is recorded. A Y reply to a later appointment reminder confirms the appointment; it does not substitute for the initial messaging consent.
